Charting

Keep notes with the therapist

Charting is on the Clinic plan.

Only owners can open charts until you give someone access.

Only theirs limits a therapist to charts of their own sessions.

Access log shows the owner who opened each entry, and when.

Idle lock covers an open chart left untouched for five minutes.

Repeating appointments

Book the weekly hour once

Book a client every week or every 2, 3, or 4 weeks, for up to 52 sessions or until a date. Dates that are taken or closed are skipped and named, so you can rebook them.

  • The same therapist and time for the whole series
  • Move or end this and following sessions
  • Each session paid when it happens
A new booking open on the calendar: the client, the service and the time
Booking rules: how far ahead clients can book and the start times

Booking rules

Decide when clients can book

Advance booking sets how many days ahead clients can book.

Booking window asks for notice, so no one books an hour before.

Start times every 15, 30, or 60 minutes keep sessions on the hour.

A reminder email goes out the day before each session.

Forms

Get intake and consent first

Ask new clients for an intake form at their first booking, and have them agree to your consent terms at checkout. Both are done before they sit down.

  • Consent agreed once, at the first booking
  • Asked again when you change your terms
  • Filled in on a tablet if they arrive without it

Deposits and payments

Take a deposit when they book

Ask for a percent or a fixed amount when clients book online, and show your cancellation policy before they pay. They pay online through PayMongo, by transfer to your own GCash, QR Ph, or bank account, or in person.

  • A receipt with each transfer, approved by you
  • A reminder email the day before
  • A no-show keeps the deposit
